1. Who we are

PaintArt by Numbers ("we", "us") is a paint by numbers manufacturer based in Shenbei New District, Shenyang, Liaoning, China. We are the controller of the personal data described in this policy. For any privacy request, write to sales@paintartbynumbers.com with "Privacy" in the subject line.

2. What we collect

• Enquiry data — the name, company, e-mail address, phone or WhatsApp number, country, quantity and project description you submit through our contact form, or send by e-mail or messaging apps.
• Artwork files — images, logos and design files you send us to prepare a sample, mockup or production order.
• Order and shipping data — billing details, delivery addresses, consignee contacts and customs information needed to fulfil an order.
• Dropship end-customer data — where you operate a dropshipping account, the name, address, phone and e-mail of your customers, which we process only to pick, pack and ship their orders on your instruction.
• Technical data — IP address, browser type, device type, pages viewed and referring source, collected by our hosting provider and analytics tools.

3. Why we use it

• To reply to your enquiry, prepare quotations and mockups, and negotiate a contract.
• To produce, pack, ship and invoice your orders, and to handle claims and after-sales issues.
• To comply with export, tax, customs and product-safety obligations.
• To improve this website and understand which pages help buyers.
• To send occasional product or availability updates, only where you have asked for them or where you are an existing business contact and the law allows it.

Where the EU or UK GDPR applies, our legal bases are: performance of a contract or steps taken at your request before a contract (Article 6(1)(b)); our legitimate interests in running and improving a manufacturing business (Article 6(1)(f)); compliance with legal obligations (Article 6(1)(c)); and consent where we have explicitly asked for it (Article 6(1)(a)).

4. Form submissions

Our contact form is delivered by FormSubmit, a third-party form-forwarding service. When you submit the form, your entries are transmitted to FormSubmit and forwarded to our business e-mail address. FormSubmit acts as a processor for this purpose. We do not store form submissions in a database on this website; they arrive as e-mail and are retained in our mail system. If you prefer to avoid the third party, write to us directly at wholesale@paintartbynumbers.com or message us on WhatsApp.

5. Cookies and analytics

This site uses only the cookies necessary for it to function, plus analytics that help us understand aggregate traffic. We do not use advertising cookies or sell audiences. You can block or delete cookies in your browser settings; the site will continue to work. Where a consent banner is shown, declining analytics cookies does not restrict your access to any content.

6. Who we share data with

We share personal data only with parties needed to run the business:

• Freight forwarders and couriers — to deliver goods and produce customs documents.
• Payment and banking providers — to receive and confirm payment.
• IT and e-mail service providers — hosting, e-mail and form delivery.
• Professional advisers and auditors — where legally required.
• Authorities — where export, tax or customs law requires disclosure.

We do not sell personal data, and we do not share your customer list or artwork with other buyers.

7. International transfers

Our operations are in China and our service providers may process data in other countries. Where data is transferred out of the EU or UK, we rely on appropriate safeguards such as standard contractual clauses with our processors, or on the necessity of the transfer to perform a contract with you.

8. How long we keep data

• Enquiries that do not become orders — up to 24 months, then deleted.
• Order, invoice and shipping records — up to 7 years, as required by accounting and export rules.
• Artwork files — for the duration of the business relationship plus 24 months, unless you ask us to delete them earlier.
• Dropship customer data — deleted 90 days after the last shipment, unless a claim or legal obligation requires longer.

9. Your rights

Depending on your location, you may have the right to access, correct, delete, restrict or object to the processing of your personal data, to receive a portable copy, and to withdraw consent at any time. Write to sales@paintartbynumbers.com and we will respond within 30 days. You also have the right to complain to your local data protection authority. If you are a dropshipping partner, please direct your end customers' requests to us and we will assist you.

10. Children

This website is intended for business buyers. We do not knowingly collect personal data from children. Where our kits are sold for children, the purchase is made by an adult retailer or brand, not by a child.

11. Security

We use access controls, encrypted transmission (HTTPS) and restricted internal permissions for artwork and order files. No system is perfectly secure, but we restrict access to personal data to the staff who need it to fulfil your order.

12. Changes

We may update this policy to reflect changes in our practices or the law. The date at the top of this page always shows the current version. Material changes affecting existing customers will be notified by e-mail.
